Monthly Website Updates: Should You Handle Them In-House or Outsource?

Published: 10/7/2026

If your business runs a new offer every month, the website needs a repeatable publishing process.

Someone has to collect the final content, put it in the right place, check it on a phone, confirm the booking link and remove the offer when it ends. These jobs can fit around other work, but they still need a clear owner.

That owner might be a member of your team, your existing website provider or an outside publisher. The right choice depends on how often the work repeats, whether it gets done reliably and what your team needs to keep control of.

Start by defining the updates you actually need

"Manage our website" is too broad to compare fairly. Make a short list of the work that happens each promotion cycle.

For an independent clinic, that might mean replacing the approved offer on an existing specials page, updating its existing homepage teaser, checking the public booking link and retiring the offer at expiry.

That is a defined content-publishing job. Hosting, software updates, technical recovery and booking administration are separate responsibilities. Before hiring anyone, check whether your current website agreement already includes the publishing work and who is responsible for requesting it.

You may already have the right help available. The missing piece could be a complete content packet or an agreed schedule.

When handling updates in-house makes sense

Keep the work in-house when a named person has safe editor access, understands the existing layout and can complete the cycle reliably.

They should have enough time to check the public result, deal with corrections and remember the expiry date. They also need a clear route to the person who approves the offer.

A small monthly calendar can be enough: content due date, approval deadline, publication date and removal date. Add a backup person for holidays or absence.

If that process works consistently, outsourcing may add little value. A single overdue promotion also does not automatically justify a monthly service. It may need one cleanup followed by a better internal handoff.

When outsourced publishing becomes useful

Outside help becomes more useful when the same update returns regularly and nobody can reliably own the whole cycle.

You might have approved content ready each month, but website changes keep waiting behind other priorities. Or the new offer gets published while the old one remains on the homepage. The recurring problem is specific enough to delegate.

Before deciding, look ahead at the next three months. Can you name the promotions or seasonal changes that will need publishing? If so, there may be a real recurring responsibility. If you cannot identify repeat work, an occasional update arrangement may fit better.

Outsourcing works best when the publisher receives complete approved content and the website is straightforward to edit. It becomes harder when every request involves a new layout, several approvers or unfinished campaign copy.

Compare the full responsibility

Use these questions to compare your options:

  • Who approves the promotion? One named business representative confirms the final content and terms.
  • Who publishes it? One person or provider owns the agreed website placements.
  • Who checks the result? The publisher checks the live display and intended public links.
  • Who handles expiry? The owner follows agreed removal instructions and confirms completion.
  • Who handles technical problems? The business or its technical provider retains that separate responsibility.

The arrangement should also explain turnaround, included editing time, extra charges and what happens if replacement content is late. Compare those details alongside the fee.

Keep approval with your business

You can delegate publishing while retaining control of the offer itself.

Your business should approve the wording, prices, eligibility, restrictions, usable images, validity dates and destination links. For a clinic, clinical and promotional accuracy remain with the appropriate clinic representative.

Send one final packet through an agreed channel. When several people submit different versions, the publisher has to stop and resolve the conflict before making a public change.

Agree expiry instructions in advance too. If no replacement is ready, the publisher needs an approved fallback. A neutral message inviting visitors to ask about current offers can keep the page useful without extending an expired promotion.

What VantaRock's monthly publishing service covers

VantaRock offers a bounded monthly promotion-publishing service for suitable independent clinics with an existing public website.

The service covers one monthly promotion rollover in the agreed existing layout, retirement of the expired offer and brief desktop, mobile and public booking-link checks. It includes up to 60 minutes of editing across two consolidated client batches: the main rollover and a correction batch. Image preparation, removal and client revisions share that allowance.

We send one monthly content reminder and a short completion note with the live URL and any unresolved issue. You keep your website, domain, hosting and booking accounts.

The clinic supplies and approves the content. Your existing technical provider continues to handle hosting, security, software updates and recovery. New pages, redesigns, campaign creation, booking administration and emergency support require a different scope.

Complete approved content is due by the 25th of the preceding month and at least three working days before the requested publication date, whichever is earlier. Normal publication is within three working days once content, approval, access and payment are ready. Publication and expiry dates are agreed in advance.

Choose an owner for the next three months

Write down your next three website promotion updates, the person who will approve them and the person who will handle publication and removal.

If each responsibility has a reliable owner, you have a workable process. If approved offers keep waiting for someone to update the website, that is a clear task to discuss with a publishing provider.

Send VantaRock your website link, how often promotions change and who currently handles updates. We'll check whether a defined monthly publishing arrangement fits, and confirm the scope, setup and monthly price before you commit.
